This manual covers important information and is designed to assist in preparing for your Breakfast or Lunch Session. We trust that you will find it helpful, and we suggest you read all the information presented. It will take you very little time now and could save you a great deal of time later.

If you have already finalized the speakers who will give a talk in your symposium, please share with us their details as soon as possible. Please specify country and email address for each speaker.

Final Agenda submission:
Please submit the final session program using the attached Agenda Format via email to dyosifova@kenes.com as early as possible and no later than July 09, 2026 (6 weeks prior to the Conference).

The final proposed program should include:

  • Session Description (up to 200 words, you can also include hyperlinks inside of it)

Important information:

  • Industry Supported Sessions are not included in main Conference CME/CPD credits.
  • In order to support you in the best possible way, please share your plans and requirements with us. This information is invaluable for the success of your session. Please coordinate directly with the Industry Coordinator, Diyana Yosifova at: dyosifova@kenes.com.
  • We recommend arriving early to set up the hall prior to the start of your session. A member of the Kenes Operational team will be available onsite should you need any assistance.
  • Handouts are allowed to be distributed at the entrance to the Session Hall; however, it is NOT permitted to place material on the seats inside the hall.
  • Printed tent cards placed on the head table are allowed and should be produced and provided by the supporter.
  • We ask presenters to follow the time schedule precisely in order for the day’s events may run smoothly. The updated scientific program can be found on the AABIP 2026 Conference website

Catering for Breakfast and Lunch sponsored sessions

  • The catering is exclusive to Hyatt Regency Denver.
  • It is mandatory for the Supporters who have a Lunch or Breakfast Session, to order Lunch/Breakfast catering for their sessions as follows:
    • for Lunch sessions, a minimum of 100 meal boxes is required.
    • for Breakfast sessions, a minimum of 30 meal boxes is required.
  • To order Catering for your Breakfast or Lunch sponsored session, please refer to the AABIP26 Menu for Breakfast and Lunch Sponsored Sessions.

  • It is recommended to indicate that you will offer catering/lunch boxes in your publications, as it will help to increase the attendance (as long as it is in line with the supporter’s internal compliance policy).

As indicated in the sponsorship agreement, the supporting company, in addition to the support fee, must cover all speakers’ expenses, including registration fees, accommodation and travel expenses. This also applies in the case where the Sponsored Session speakers have already been invited by the Conference.

We strongly recommend scheduling a technical rehearsal in the hall itself and testing the Presentations during that rehearsal. Please make arrangements directly with the Conference Audio Visual Coordinator, Mike Perchig at: nest@nest-av.com. A 20-minute technical rehearsal is offered free of charge; however additional charges may apply, depending on hall availability, rehearsal requirements and overtime of the technicians.

If you are using a PowerPoint presentation (or any other PC-based application), please note that you have to deliver it on a USB Memory stick to one of the technicians in the Speakers’ Ready Room as soon as you arrive at the Venue in the morning – and at least 1 hour before the start of the session.

Online uploading of the presentations will also be possible (instructions to follow).

Please note that the Computers for the Presentations will be supplied with Office 2019 (at least) and the native ratio of the projection on the screens in the halls is 16:9.

If you include video clips in your PowerPoint presentation, be sure to test it with the technician in the Speakers’ Ready Room at least 2 hours before the start of the session or as soon as you arrive at the venue in the morning. Please make sure to check it with the technician in the session hall where your lecture is taking place, during a coffee or lunch break prior to your session, at least 30 minutes before the start of the session – even after checking it in the Speakers’ Ready Room.

Important Note for Macintosh Users
To use MAC presentations on the PC compatible meeting computer, please note that you need to prepare it according to the instructions below, before taking it to the speaker room:

  • Convert it to PowerPoint or PDF.
  • Use a common font, such as Arial, Times New Roman, Verdana etc. (Special characters might be changed to a default font on a PowerPoint-based PC).
  • Insert the images as JPG files (and not TIF, PNG or PICT – these images will not be visible on a PowerPoint based PC).

As previously mentioned, we strongly recommend scheduling a 20-minute technical rehearsal and testing the presentations during the rehearsal. Please plan directly with the Conference Audio Visual Coordinator.

Supporters have the option to create signage promoting their Breakfast and Lunch sponsored sessions according to the below guidelines.

The session signage is optional and must be produced by the supporter.

Self-standing signage at the Exhibition Area

The Supporter is entitled to place 1x free standing vertical sign (max. dimensions: 38″ W x 84″ H) advertising the session on the day of the session only. The sign may be placed in the exhibition area during exhibition opening hours. Please liaise onsite with the Exhibition Manager regarding exact time and location.

Digital Lecterns

All Halls will have a designed “digital” lectern (for more information please refer to tab: AV Equipment Onsite).
The “virtual” banner can include the title of the Symposium and the name and logo of the Sponsor.

Please note:

  • Due to CME/CPD accreditation criteria, you may not place signage advertising your session in any other locations unless coordinated with Kenes staff onsite.
  • The session signage is optional and must be produced by the supporter.
  • Please make sure to indicate the following disclosure on the signs: This session is not included in main Conference CME/CPD credits. 

Wi-Fi

Complimentary Wi-Fi will be provided by the Conference during official Conference days at most areas.
This Wi-Fi connection is limited for basic web browsing or checking emails.
Should you have any internet-based feature/device/activity at your Booth or Demo suite (for example: product demonstrations, etc), we strongly recommend ordering a dedicated internet connection for your Booth or Demo suite (wireless or wired connection) to guarantee a consistent internet connection inclusive of technical support.

If you wish to order a dedicated internet connection for your Booth or Demo suite (wireless or wired connection), please order with Single Digits (exclusive internet provider).

Important:

  • Please be advised private Wi-Fi networks installations in the Booths or Demo suites are not allowed.
  • The venue and the organizer reserve the rights to discontinue any activity which interferes with the hall Wi-Fi coverage. 
  • Exhibitors and sponsors are responsible for following legal, ethical, moral and generally accepted internet and e‐mail conduct when communicating across the Conference’s network. The venue reserves the right to disconnect and/or limit a user’s right to or use of the network if rules and conditions are not respected.

Waste Disposal

Please note that it is the supporter’s responsibility to leave the session hall in a clean and tidy manner once your sponsored session has finished. Any items such as leaflets, banners, roll-ups must be removed from the hall at the end of your session. Any discarded waste, including promotional material, left behind will be removed by the Conference organizers at the expense of the supporter concerned.

Industry Session Badges (for Breakfast and Lunch sponsored sessions)

Each Breakfast or Lunch sponsored session organizer is entitled to up to 10 Industry Session badges which allow access to their Sponsored Session only. These badges will not display individual names. Industry Session badges will be prepared upon request only and can be collected at the Registration desk 2 hours prior to start of your Sponsored Session. Industry Session Badges need to be returned to the Registration desk after the session has ended.

Demo Suites

Supporters interested in renting a demo suite during AABIP 2026 Conference should contact Industry Liaison & Sales, Ms. Paula Suarez at psuarez@kenes.com.

Presentations will be made available in the mobile app on the day following the sponsored session, enabling participants to easily access and review the materials at their convenience.

This service is available for an additional fee of USD 1000 per sponsored session. Presentation upload is subject to consent and approval from the respective speakers.

Organising Meetings and Events Outside the Conference

The success of the AABIP Conference is important to all participants, partner organizations, and industry supporters. To help maintain the integrity and value of the Conference program, AABIP has established the following guidelines regarding meetings, events, and promotional activities taking place during the Conference period. We respectfully ask all organizations and participants to support these efforts and work collaboratively within these parameters.

Meetings, Events, and Activities

To encourage attendee participation in the official AABIP Conference programming and activities, AABIP requests that organizations avoid hosting open-invitation meetings or events during the Conference that may compete with or distract from the Conference schedule. This includes meetings focused on respiratory medicine as well as events specifically targeting Conference participants.

In addition, AABIP asks industry partners and affiliated organizations to refrain from organizing sponsored meetings, networking activities, or other promotional gatherings during Conference hours. Our goal is to provide attendees with the opportunity to fully engage in the educational sessions, networking opportunities, and initiatives planned as part of the AABIP Conference experience.

Scientific Symposia

To preserve the educational integrity of the Conference program, AABIP requests that scientific symposia and educational events not be scheduled outside of the official Conference venue within the host city during the Conference period. This includes “Meet the Professor” programs, educational workshops, case-based discussions, data presentations, and similar scientific activities.

Industry-supported educational sessions should be coordinated through the official Conference program and will take place within the Conference venue on Thursday, Friday and Saturday.

Closed Meetings and Social Events

Companies may organize invitation-only meetings and social gatherings provided they do not conflict with the Conference program or opening session. These events should avoid the blackout times as per the Conference program.

For smaller private meetings, discussion groups, investigator meetings, or speaker briefings involving fewer than 5 participants, prior approval from AABIP is generally not required, provided the meetings comply with the timing restrictions above. Invitations should be limited to specifically invited individuals and should not be publicly promoted or open invitation events.

Promotional Meetings

Press and media events held outside of the Conference venue are permitted during blackout periods when attendance is limited to company staff and invited media representatives only.

Internal Staff Meetings

Companies may hold internal meetings for delegates they have sponsored to attend the Conference, including meetings involving more than 5 participants. However, these meetings should not overlap with Conference programming or detract from the educational value and attendee engagement of the AABIP Conference.
